Basic configuration
starting parameters
In the system parameters menu, select the option « Pin pad parameters ».
Under the Pin pad parameters tab, you need to define the working directory for the transactions files and the merchant id #.
You will have to specify the following information:
The number of copies to print for credit/debit card transactions. The default value of 1 = 1 copy for the customer and 1 copy for the merchant.
You will need to indicate the number of months you want to keep the coupon history and the basic information on the accepted amount and the maximum amount you can put on a debit card transaction. If the amount is $0.00, no cash back will be allowed.
The type of communication that you will select will be by « Socket »
The next tab is used to define the screens that will have access to the semi-integrated system. You need to define the terminal identification #, if this terminal uses the semi-integrated system.
Enter the IP address for the Internet communication, this will be the principal communication port. If you have 2 internet vendors, you can use one as an emergency if the principal is out of service.
You will then need to identify all the method of payments you support.
The method of payment needs to exist in Phoenix.
Finally, you need to identify all the pinpad ip addresses under the Server Pinpad tab and in the company maintenance. Identify Moneris as the semi-integrated system vendor.
Security
In security, under User Group maintenance, by user maintenance, you will need to define who is going to have the ability to print a batch total without closing the batch and who will have the security to close the batch for the pinpad at the end of the day.
Type of transactions that are supported:
1.Credit card with or without chip.
o (Visa, Master, Amex, and corporative credit card)
1.Debit card with or without chip.
1.Botanix gift card.
Credit card purchase:
As soon as you select a credit card type method of payment, the user must press enter to accept the amount or type in new amount and press Enter, a new box will appear.
There will be 4 different ways to do a credit card transaction:
F2: 98 % of your transactions will be processed with this function key. This function will allow Phoenix to send the amount of the transaction to the pin pad.
F5: This function key is used to enter an authorization number to complete a transaction.
F6: You will use this function key if the Pinpad is not able to read the card.
F7: You will use this function if you receive an order by phone or email.
Function key F2: Transmit
This function will allow Phoenix to send the amount of the transaction to the pinpad. Once the amount received, a message will appear on the pinpad asking the customer to swipe his card or to introduce the chip. At this exact moment, Phoenix will be in hold mode.
Phoenix waits for the customer to process the transaction on the pinpad. When completed, the pinpad will send the message to the customer to remove their card and the system will print the customer’s coupon followed by the merchant coupon.
If the card has been read with a chip, no signature will be needed. If it has been swiped, a message in the Phoenix screen will ask you to have the customer sign.
Afterward, the merchant will be able to print the invoice for the customer. Phoenix will print the 4 last numbers of the credit card as reference.
If the customer has a card with a chip and tries to swipe it, the following message will appear on the pinpad: “Please insert your chip. “
If the pinpad is not able to read the chip, it will ask the customer to swipe the card. If it’s still not able to read the card, it will ask you to pass in F6 mode “Manual Card Entry”.
Function key F5: Manual authorization
This function will be used in the majority of the cases during the tendering of a credit note to a customer. Usually, this function is reserved for certain users of the store who know the authorization number.
Therefore, it is very important to hit F5, then to input your authorization number. Once entered, you can press the function key F2 to allow the customer to swipe their card or to insert the chip into the pinpad.
Function key F6: Manual input of the card:
This function will be used as a last resort. When pinpad is incapable to read the chip after the card is inserted or incapable to read the card when it is swiped.
At this moment, you will have to use the function key F6 for the manual entry of the credit card. This process will be done directly on pinpad. We will ask you then to enter the number of the card as well as the expiry date. Once completed, the system will print the coupon for the customer and then the merchant copy. The Phoenix software will inform you to make the customer sign (Because manual is a forced transaction and requires a signature for confirmation).
Function key F7: Phone and email:
This function will be used when you process a transaction where the customer will not be in store, but they give you their credit card information by phone or email.
At this moment, you will have to use the function key F7 to manually charge the credit card. This process will be done directly on the pinpad. We will ask you then to input the number of the card as well as the expiry date. Once completed, the system will print the coupon for the customer and then the merchant copy. The Phoenix software will inform you to make the customer sign (Because manual is a forced transaction and requires a signature for confirmation).
Debit card purchase:
As soon as you will select the debit card method of payment, a new box will appear.
Function key F2: Transmit
This function will allow Phoenix to send the amount of the transaction to the pinpad. Once the amount was received, the pinpad will send a message to the customer to swipe their card or to insert the chip. At this point in time, the Phoenix software will be in waiting mode.
Phoenix will wait for the customer to finish inputting their information on the pinpad. Once completed, the pinpad will send a message to the customer to remove their card and the system will print the coupon for the customer as well as the coupon for the merchant.
If the card was read with a chip, no signature will be required. On the other hand, if the customer swiped their card in the reader, a message will appear on the screen asking you to have the customer sign.
Afterward, the merchant can print the customer’s copy. It should be noted that we will print the 4 last numbers of the debit card as a reference.
If the customer has a card with a chip and tries to swipe it, the following message will appear on the pinpad: “Please insert your chip. “
Credit card refund :
As soon as you select a credit card method of payment, a new box will appear.
During the tendering of a credit note, you will have to select the function key F5 = manual authorization to seize the authorization # that will allow you to continue the operation (because this function is reserved to some employees of the store).
Function key F2: Transmit

Regular sale and refund with several cards:
Phoenix will allow the payment of a transaction with several methods of payment. You will have to enter the method of payment and follow the appropriate process for the situation.
Batch Total:
During the day, you will be able to view your sales totals. To do so, you will need to go to the point of sale screen and choose the “Bank” menu option.
By selecting the menu item “Batch Total”, Phoenix will print a cash register coupon with your sales totals for the day up to that moment. When using this function, the totals will not be reset to zero.
Closing Batch :
At the end of the day, you will have to close the batch for each pinpad. To do so, you will go to the point of sale screen and select the menu option “Bank”.
By selecting the menu item “Closing batch”, Phoenix will print a cash register coupon with your sale totals for the day. By using this function, the totals will be reset back to zero and the money will be deposited in your bank account.
Debit card info:
You can offer to your customers to display the balance of their bank account before a transaction. To do so, you will go to the point of sale screen and select the menu option “Bank”.
By selecting the menu item “Info Debit Card”, the customer can insert or swipe their card in pinpad and follow the instructions on the terminal.
