Statement Lines - Balance Sheet

 

The module allows the user to created financial statement line for the balance sheet.

 

 

 

During the Phoenix implementation, a Phoenix Implementation Specialist helps you to create your financial statement lines for the balance sheet. This is part of the training during the implementation.

 

As you can see above, different headers are available to the user to create the balance sheet financial lines:

 

Line: The user must decide of the line number to use for each financial lines. Please noticed that in this examples, most of the lines has a sequence of 10 since it is good if you have any other lines to add in the future.

 

English Description: The user must enter the description of the financial line

 

French Description: The user must enter the description of the financial line

 

Type: Different type of lines such as Header, Detail and Total.

 

Header: Header Line to separate some accounts on the balance sheet such as Assets, Current Assets or Liquid Assets.

Detail: Detail Line is for the actual amount that is associate to the account such as bank, cash clearing or petty cash.

Total: Total line is to ensure that you have totals on the balance sheet for different section such as Total Liquid Assets.

 

 

Page skip: If the user wants a page skip at a certain financial line (account), the user must ticked the box for that line and that line will start on a separate page.

 

Line skip: If the user wants a line skip at a certain financial line (account), the user must enter the number of lines to skip i.e. 1

 

Printing: The Phoenix software offers you different way to print but the most popular one is "with sign"

 

 

With sign: The system will print the amount with signs (-)

 

Debit line: The user can determined if it is a debit line

 

Credit line: The user can determined if it is a debit line

 

 

Position: The user must decided what position to print that financial line. How many characters from the left margin. i.e. 0 would be at the left margin - 5 would be 5 characters from the left margin. This position allows the user to create indents for the lines so it is not all printed at the left margin.

 

Cumulative level: The user must tell the system what section must be added together for the totals. The way it works is that a level 1 will stop at another level 1 but if you have a level 2, it will ad up all the detail of the accounts that are displayed above that number but will add lines with a level 1 but will stop at a level 2. So a level only adds the other totals if it is lower. So a 2 will add a 1 but will stop if it sees another 2 and a level 3 will add level 2 and 1 total lines but will not add a 3.

 

Let's explain this a little more with and example:

 

 

The first total line is at line 190 and it has a level 1 so the system will add all of the detail lines above this line to create the total for the liquid assets in this example.

 

 

The second total line is for a total of the current assets and it is set with a cumulative level of 2 which means that it will add up all the details lines above this line and will add the toatl with a cumulative level of 1 which was the total liquid asset.

 

 

In this window, we can see total fixed assets (line 400) which is set to 2 so it will add all of the details line above this line but will stop at line 270 since that one is set to 2 as well to create the total for the total fixed assets.

 

As for line 410 which is set to 4 so this means that it will add everything above this lines since the lines with 2 and 1 as a level is lower than a 4 and this will create the total for the total assets.

 

 

 

History:

 

 

 

Changes History: This displays a history of all changes that the users brought to this account.  The user will be able to view the following fields; user, field from and to as well as the date and time.
